About HRSD

The employee experience layer.

HRSD (HR Service Delivery) puts a modern employee experience on top of your existing HRIS (Workday, SuccessFactors, ADP…). Employees get a single self-service portal for anything HR — case management, knowledge, requests, lifecycle events.

The magic is in the integration: onboarding kicks off IT provisioning through ITSM, HR cases route to the right specialist, employee-facing knowledge is discoverable across HR and IT.

VanPaulTek delivers HRSD in tandem with ITSM and often SecOps — because in modern enterprises, the employee lifecycle spans HR, IT, and security. Coordinated delivery matters.

Sub-modules

Four sub-modules, one employee experience.

Case management, knowledge, portal, and lifecycle — the pillars of modern HRSD.

Full lifecycle

How we deliver HRSD.

Design, architect, develop, implement, and support — five phases, one accountable team.

01
Phase 01

Design

Employee-experience-first design, not case-tracking-first.

  • Employee persona + journey mapping
  • Lifecycle event design: onboarding, offboarding, transfers, leaves
  • Case taxonomy + confidentiality tiers
  • Knowledge scope + authoring model
  • Portal experience design (Employee Center)
  • HR ↔ IT ↔ Facilities coordination model
02
Phase 02

Architect

HRIS integration is the make-or-break architectural decision.

  • HRIS integration architecture (Workday, SuccessFactors, ADP, Oracle)
  • Employee data model + data-residency strategy
  • Confidentiality + access controls (HR ACLs, restricted data)
  • Employee Center architecture + branding
  • Lifecycle event orchestration architecture (IT + Facilities integration)
  • Manager / employee mobile experience
03
Phase 03

Develop

Configuration + integration + content, delivered iteratively.

  • Employee Center design + configuration
  • Case Management workflows + SLA definitions
  • Lifecycle event workflows (per event type)
  • HRIS integration development + testing
  • IT / Facilities integration for lifecycle orchestration
  • HR knowledge base seeding + governance
04
Phase 04

Implement

Phased rollout — often pilot with one function or region first.

  • Pilot with one HR function (Payroll, Benefits, Talent) or one region
  • Case migration from legacy tools
  • Knowledge base migration + refresh
  • HR agent training + Employee Center training
  • Employee comms: announce, educate, launch
  • Hypercare with HR business partner involvement
05
Phase 05

Support

Ongoing operation — HRSD evolves with the organization.

  • Employee Center content + campaign management
  • Case category + SLA tuning as workload evolves
  • New lifecycle event types as HR programs launch
  • HRIS integration maintenance across HRIS releases
  • Knowledge base health + refresh cycles
  • Ongoing HR operations analytics + insights

Quick wins

Actionable improvements — start Monday.

Practical fixes that don't need a project charter. Ordered by timeframe and impact — the stuff experienced practitioners just do.

Day 1
High

Enable AI knowledge search for HR portal

Now Assist knowledge search on Employee Center. Users find answers 2-3x faster. Deflection lifts immediately.

Week 1
High

Retire the 'HR' email inbox that everyone CCs

Convert to structured case creation via Employee Center. Cases get routed, tracked, and don't fall through.

Week 1
High

Publish top-25 HR knowledge articles

80/20 rule: 25 articles cover 80% of HR questions. Publish quickly + iterate. Foundation of deflection.

Week 2
High

Auto-provision hardware on Day-1 based on role

Onboarding kicks off IT catalog request via HRIS role. New hires get gear on Day 1. IT loves it.

Week 3
High

Split cases by confidentiality tier

Investigations + medical shouldn't be visible to entire HR. Tier-based ACLs from day one. Employees trust you.

Month 1
Medium

Manager self-service dashboard

Managers see their team's HR requests, PTO balances, onboarding status. Reduces 'what's my team doing?' questions.

Month 1
Medium

Auto-close 'FAQ' cases via chatbot

Virtual Agent handles PTO balance, benefits FAQ, org chart. Deflects 20-30% of HR volume.

Month 2
Medium

Multi-language knowledge for global sites

Auto-translate + human-review pipeline. Non-English regions get parity. Adoption evens out.

Month 2
High

Offboarding checklist with IT deprovisioning

Coordinated exit: badge return, IT access removal, knowledge capture, exit interview. Security wins.

Success metrics

What good looks like — measurable.

Real KPIs and targets from mature implementations. Track these; if they trend the wrong way, something is off.

HR Case Deflection
40-60%
within 180 days

% of employee questions resolved via self-service + Virtual Agent. Requires quality knowledge + Employee Center UX.

Case Resolution Time
<3 business days
within 90 days

Median resolution time. Varies by tier — but should trend down with knowledge investment.

First-Response Time
<4 hours
within 90 days

Time to first substantive response. Employee experience metric — not first bot reply.

Employee CSAT
≥4.2/5
within 180 days

Post-case survey score. Trend > absolute — but under 4.0 signals systemic HR service issues.

Day-1 Ready Rate
≥95%
within steady state

% of new hires with laptop + credentials + access on Day 1. Below 90% = onboarding orchestration broken.

Knowledge Article Currency
≥85% <12 months old
within steady state

% of published KB in-date. Stale content = wrong answers = collapsed trust.

Virtual Agent Deflection
20-30%
within 180 days

% of employee interactions resolved by VA without human handoff. Requires topic tuning.

Lifecycle Event Cycle Time
<3 days onboard, <2 days offboard
within steady state

End-to-end lifecycle event time. Sub-day for offboard is possible with full orchestration.

Common pitfalls

The traps we see every project.

Honest warnings from many deliveries — the mistakes that cost time, money, and adoption. These aren't in vendor guides.

!

HRSD without HRIS integration

Why it fails: Manual employee data entry doesn't scale. Cases without accurate employee context waste HR time.

Do this instead: HRIS bidirectional integration on day one. Employee data flows automatically.

!

Employee Center as replacement intranet

Why it fails: Employee Center is transactional (cases, requests, knowledge) — not a content-heavy intranet CMS.

Do this instead: Use Employee Center for transactions; link to your CMS/SharePoint for content-heavy pages.

!

Case confidentiality via naming convention

Why it fails: Naming conventions get ignored; sensitive cases end up visible to wrong people. Employee trust craters.

Do this instead: ACL-based confidentiality tiers from day one. Auditable, enforced by platform.

!

Onboarding without cross-department orchestration

Why it fails: HR schedules Day 1; IT doesn't know. New hire arrives without laptop. Rough start = retention risk.

Do this instead: Lifecycle event orchestrates HR + IT + Facilities. Day-1 checklist across departments.

!

Manager approvals that bypass the platform

Why it fails: Managers approve via email; audit trail broken; SLA reporting inaccurate.

Do this instead: Native approval workflow in mobile + email-response format. Records stay in-platform.

!

HR knowledge published without audience targeting

Why it fails: Employees see irrelevant policies for other roles/regions. Cognitive load + reduced trust.

Do this instead: Audience targeting (role, region, employment type) on every article.

!

Localization treated as afterthought

Why it fails: Non-English users get bolted-on translation. Adoption in non-English regions collapses.

Do this instead: Localization strategy from design phase. Content lifecycle includes translation.

!

No exit-interview + knowledge capture in offboarding

Why it fails: Institutional knowledge walks out with retiring / departing staff. Impossible to reconstruct later.

Do this instead: Structured exit workflow with knowledge capture. Departing engineers document; captures live in ITSM knowledge.

!

SLAs uniform across case types

Why it fails: Payroll issue vs. benefits question have different urgency. Uniform SLA = misalignment.

Do this instead: SLA per case category, tied to real employee impact. Adjust over time.

FAQ

Questions we hear often.

Do we need an HRIS to use HRSD? +

You don't need one, but HRSD is much more valuable when integrated with an HRIS — because employee data flows automatically and lifecycle events become end-to-end.

Which HRIS platforms do you integrate with? +

Workday, SAP SuccessFactors, Oracle HCM, ADP, Ceridian, BambooHR, custom HRIS. Bi-directional in most cases.

How is confidentiality handled for sensitive HR cases? +

ACL-based data segmentation. Investigations, medical, and grievance cases can be restricted to specific HR roles with audit-logged access.

Can Employee Center replace our intranet? +

For transactional employee experiences (cases, requests, knowledge) — yes. Employee Center isn't a content-heavy intranet CMS, but it can be the hub.

How long does HRSD implementation take? +

Foundation HRSD (case management + Employee Center + top 3 lifecycle events): 3–5 months. Full multi-region rollout: 6–12 months.

Does HRSD support multi-language / multi-region? +

Yes — Employee Center supports localization, and case/knowledge routing can be region-scoped.
